PRIVACY POLICY

Comets Fastpitch LLC respects the privacy of athletes and families. We collect and use information only as reasonably needed to operate our softball program, communicate with families, support athlete safety and development, and manage payments and required records.

Information We May Collect

• Parent or guardian information, including names, email addresses, telephone numbers, mailing addresses, and family account details.

• Athlete information, including name, birth date or age, school or graduation year, team or age group, positions, jersey information, availability, and softball background.

• Registration and program records, including tryout information, roster decisions, acknowledgments, signatures, waivers, policy agreements, and communication preferences.

• Health and safety information provided by a parent or guardian, including emergency contacts, allergies, medical considerations, insurance information, and information needed to respond to an emergency.

• Payment and transaction information, including the payment option selected, amounts charged or invoiced, payment status, refunds, and related billing records. Payment-card and bank-account information is processed by payment providers such as Stripe. Comets Fastpitch generally does not receive complete card or bank-account numbers.

• Photos, videos, training observations, and athlete-development information created or provided in connection with practices, games, assessments, instruction, or team activities.

• Basic website and device information, such as browser type, IP address, pages visited, and cookies or similar technologies used by our website and service providers.

How We Use Information

We may use information to:

• Process registrations, tryouts, roster acceptance, payments, scholarships, and program administration.

• Communicate schedules, tournament information, team updates, availability requests, invoices, and other program information.

• Support coaching, athlete development, training analysis, team placement, and program planning.

• Protect athlete health and safety, respond to emergencies, maintain insurance and sanctioning records, and meet legal or organizational requirements.

• Operate, secure, maintain, and improve our website, forms, communications, and administrative systems.

How Information May Be Shared

We do not sell personal information. We may share information only as reasonably necessary with:

• Authorized Comets Fastpitch coaches, administrators, and volunteers who need the information for their responsibilities.

• Service providers that help us operate forms, payments, scheduling, communications, file storage, insurance, analytics, or other program systems. These providers handle information under their own terms and privacy practices.

• Tournament directors, sanctioning organizations, insurers, facilities, lodging coordinators, or similar partners when needed for participation or program operations.

• Emergency responders, medical personnel, government authorities, or other parties when reasonably necessary to protect an athlete or another person, comply with the law, or protect the rights and safety of Comets Fastpitch and its community.

Information About Minor Athletes

Comets Fastpitch serves youth athletes, but registration, payment, medical, and consent information for a minor athlete should be submitted by the athlete’s parent or legal guardian.

Children under 13 should not independently submit personal information through our website or forms. If we learn that information was submitted directly by a child under 13 without appropriate parental involvement or consent, we will take reasonable steps to review and delete it as appropriate.

A parent or guardian may contact us to request access to, correction of, or deletion of information relating to their child, subject to identity verification and records we are legally or operationally required to retain.

Retention and Security

We retain information only as long as reasonably necessary for program operations, athlete safety, payment and accounting records, insurance, dispute resolution, and legal obligations.

We use reasonable administrative and technical safeguards, but no website, email system, online form, or storage system can be guaranteed completely secure.

Your Choices and Requests

A parent, guardian, or adult participant may contact team@comets.team to:

• Request access to, correction of, or deletion of personal information.

• Update communication preferences.

• Ask how personal information is being used or shared.

We may need to verify the requester’s identity and authority. Some records may be retained when required for safety, insurance, accounting, legal, or legitimate program purposes.

Third-Party Services and Links

Our website and program may use or link to services operated by other organizations, including registration, payment, communication, scheduling, video, and team-management providers. Their privacy practices and terms apply when families use those services. We encourage families to review those policies.

Changes to This Policy

We may update this page as our program, website, or legal obligations change. The effective date at the top of the page will be updated when material changes are made.

WEBSITE AND PAYMENT TERMS

Use of the Website

The Comets Fastpitch website and online services are provided for program information, registration, communication, and payment. Users must provide accurate information, use the services lawfully, and avoid interfering with the website, forms, accounts, or systems.

Program Registration and Policies

Registration, roster acceptance, and payment do not replace the separate waivers, conduct expectations, season information, and other program agreements provided to participating families. Those program-specific documents govern participation in Comets Fastpitch activities.

Fees, Invoices, and Refunds

Program fees, payment dates, installment arrangements, scholarships, and refund or withdrawal terms are governed by the offer, invoice, registration form, payment plan, and current Comets Fastpitch program materials provided to the family.

Families should contact us promptly if circumstances affect their ability to make a scheduled payment. Payment processing may also be subject to the payment provider’s terms.

Information Only

Website content is provided for general program information and may change. It is not medical, legal, or professional advice. In an emergency, contact appropriate emergency or medical services.

Availability and Third Parties

We work to keep our website and online services available and accurate but cannot guarantee uninterrupted access. Comets Fastpitch is not responsible for the availability, security, content, or practices of third-party websites and services.
